Indian Embassy: A Guide for Indian Expats in Belgium

The Embassy of India in Brussels handles passports, OCI, consular certificates and emergencies for Indian nationals across Belgium. Almost everything runs on appointments and narrow daily windows — so the useful thing to know is not what it does, but when.

Use the right inbox. Passport and miscellaneous queries go to one address, visa and OCI to another. Sending to the general address, or to the wrong one of the two, is the single easiest way to add a week to a straightforward question.
The daily windows
Open Monday to Friday, but each service runs in its own slot rather than all day:

Appointments are booked through the embassy’s online system. Check the site for current timings before travelling — these do change, and Indian as well as Belgian public holidays are observed.
Book earlier than you think you need to
Appointment availability is the constraint, not processing. If your passport expires within a year, or you need OCI for a child, start now — and remember that many countries require six months’ passport validity to let you travel at all, so “expires in five months” is already a problem.

- OCI cards — including for children born in Belgium, which most new parents here deal with sooner or later.
- Certificates of nationality and coutume — needed if you are getting married in Belgium, requested on the miscellaneous application form with a passport copy and photograph. Expect roughly a week before collection.
- Attestations and document attestation for use in Belgium.
- Emergency assistance — lost passports, distress cases, deaths abroad.
Making the visit work
- Bring originals and copies of everything; the copies are usually what is retained.
- Photographs must meet the Indian specification, which differs from the Schengen one.
- Documents issued here still need Belgian legalisation before a commune will accept them — see apostille and legalisation.
- Take the tram. Parking around Chaussée de Vleurgat is genuinely difficult.
Contact details and timings were correct in 2024 — verify on the embassy website before travelling, as hours, fees and the appointment system all change.
