A Guide to Inviting Your Parents and Navigating the Visa Maze

A short-stay visa brings a parent over for up to ninety days, and most refusals come down to the same thing: the file did not prove clearly enough that they intend to go home. Everything below is really about answering that one question.

1. Pick the right visa
Decide what the visit actually is — tourism, a family visit, or a family reunion — and apply for that. For a parent coming to stay with you for a few weeks or months, this is the short-stay Schengen Type C.

2. The application form
Download it from the Belgian embassy or consulate handling your parent’s region of India. Complete it precisely — names exactly as they appear in the passport, dates in the right format, nothing left blank. Inconsistencies between the form and the supporting documents are a common and entirely avoidable cause of delay.
3. The documents
Two bundles: your parent’s, and yours as the sponsor in Belgium.

And for the passport itself: at least two blank pages, valid for at least three months beyond the intended departure, plus recent photographs meeting the Schengen specification.
The cover letter does more work than any other document. A clear page saying who is visiting whom, for exactly how long, who is paying, where they will stay and why they are going back — that is the case. Everything else in the bundle is evidence for it. A file of documents with no letter explaining them makes the consulate do your reasoning for you.
4. Show they will return
This is what a short-stay refusal usually turns on. Strong ties to India are the answer: property, a pension, a business, a spouse remaining behind, other dependants. Include what exists rather than asserting the intention.
Book refundable, and start early
The application wants an itinerary and bookings, but the visa is not guaranteed — so book flights that can be cancelled, and never pay for anything non-refundable before the decision. Apply well ahead of the intended travel; appointment slots at Indian visa centres are the bottleneck far more often than the decision itself.
Once they arrive
Ninety days in any 180 is the limit and it is counted across the whole Schengen area, not just Belgium. Depending on the length of stay and your commune, a short-stay visitor may need to be declared at the commune — worth asking when you register the invitation, rather than discovering it later.
